Step 01
Prepare an Index map for the District including sheet numbers (1:10,000 scale).
Step 02
Demarcate D.S. boundaries on the Index Map.
Step 03
Similarly prepare an Index Map for D.S. Division.
Step 04
Indicate the availability of maps (digital and paper maps) by using different colours.
Step 05
Obtain print outs of the 1:10,000 scale map sheets for field work (This will be provided by the Head Office)
Step 06
Hand over this map sheets to the officers of the D.S. Division along with the Quality Control / Evaluation Sheets. Receipt should be acknowledged. Updating process (methodology) should be clearly briefed to the officers by District AD. In addition it is better to carry out a field work for a selected area as a sample with all officers to show the updating process.
Step 07
Review the updating process by every 2 weeks and keep records on Quality Control / Evaluation sheets.
Step 08
Updated field copies should be checked by the staff who is assigned to check the accuracy and confirm their checking by completing the relevant formats.
Step 09
If the updating process is done accurately, it can be digitized with the help of officers who are trained in GIS. However, Divisional officer who has done the updating can also assist for digitizing.
Step 10
Check the features (polygon, points and lines) of the map for their completeness and accuracy by GIS staff and field staff
If it is ok; edge of the map sheets should be matched / checked for the continuation of the polygons and lines (if continued) and continuation of the admin boundaries.
If any doubt exists put remarks on quality control / evaluation sheets and discuss with District AD and repeat the field checking to solve the issue.
If there are no further issues, complete all the mapping work with final touchup.
Step 11
Develop data base (data should be gathered from the field) and hand over the digital coverage (in shp. format) to the Head Office.
